Greenwich Sports Systems (GSS)
Privacy Notice — last updated August 19, 2026
GSS is a service for people age 13 and older to organize, film, score, process, and watch youth and adult sports. This notice describes the GSS app, Team portal, and game services. A league's registration, waiver, payment, and medical forms are separate records controlled by that league and its registration provider.
INFORMATION WE COLLECT
- Account information. Sign in with Apple supplies a stable account identifier and may supply a name the first time you sign in. GSS does not currently request your email from Apple. You may choose a display name shown to people working on the same game or Team. If an adult affirmatively opts in through a participating organization, GSS may also receive that adult's name and email address solely to coordinate an account invitation or guardian claim, provide account or security notices, and respond to support requests. GSS does not use that information for marketing unless the adult separately opts in.
- Game media and operations. Video, audio when recorded, precise capture location, compass heading, camera and device metadata, scores, officiating events, plays, tags, statistics, diagnostics, and upload/processing records.
- Team and player information. Team names and limited roster facts such as a player's display name and jersey number. These facts may describe minors but are supplied or confirmed by an adult account holder or participating organization.
- Organization-provided season information. When a parent or guardian authorizes it, a participating organization may provide a player's display name, assigned jersey number and name-to-number association, Team and season, roster status, game schedule, and a versioned record of that authorization. The registering adult's name and email may be provided only when that adult opts in to an invitation or guardian claim. GSS accepts organization-provided identity and adult contact records only for the disclosed Team, season, account-invitation, and feature purposes and when the organization represents that it has the applicable parent or guardian authorization. GSS does not need registration payment details, medical or emergency answers, date of birth, grade, school, jersey size, scholarship details, home address, waiver text, or signature in ordinary Team, game, Replay, or analytics records.
- Capture location. With the adult user's device-level permission, GSS may collect precise location and compass heading during game capture to identify the field, orient cameras, and synchronize footage. GSS does not use this information for advertising or unrelated location tracking. The adult may revoke location permission in device settings, although some recording or synchronization features may then be unavailable.
HOW WE USE IT
- To operate Teams and scheduled or standalone games; synchronize cameras; provide score and official time; process footage; and create Replay, statistics, tags, and highlights.
- To secure accounts, diagnose failures, support users, enforce access, and maintain an audit trail of material account, Team, fixture, game, consent, and deletion actions.
- Automated and AI-assisted systems may analyze access-restricted game footage to detect field geometry, players, the ball, plays, and candidate statistics. Product claims remain subject to the app's review and confidence controls.
- Football analysis and development. GSS may process access-restricted game footage to provide film, synchronization, scoring, statistics, clips, jersey-number recognition, player and ball tracking, and other football-analysis features. GSS may also process that footage to create de-identified football-action data, such as generic throwing, movement, ball-tracking, or flag-pull events without player identity. GSS does not use identifiable player footage to train facial-recognition, biometric-identification, or player-identity models. Jersey-number recognition does not identify a player by name unless an authorized roster mapping has been supplied.
- De-identified data. GSS treats data as de-identified only when it is not reasonably linkable to an identified or identifiable person. GSS maintains reasonable measures to prevent that linkage, will not attempt to re-identify the data, and requires any recipient to follow the same restriction. Only de-identified football-action data may be retained as a reusable model-development dataset. GSS may use or license de-identified data and resulting non-personal models or insights for lawful research, analytics, and product development.
- Large language models and external AI. GSS does not collect, use, or sell personal data for the purpose of training or fine-tuning large language models or other general-purpose generative-AI models. GSS does not permit an external AI or model provider to use identifiable youth footage or roster data for that provider's independent use or to train that provider's own or general-purpose models.
WHO CAN SEE GAME INFORMATION
- GSS game footage is not public by default, but it is not necessarily private to the person who filmed it. Access may include the immutable game owner, explicitly admitted game participants, active members of a Team bound to a scheduled game, and authorized league or Team operators whose role permits the requested action. Authorized adults may download footage, and GSS cannot recall copies they have already downloaded.
- A scheduled league game may be shared across both participating Teams. A standalone game keeps its separate owner and direct grants even if it is later displayed with a Team.
- GSS uses service providers for hosting, storage, processing, authentication, and support. They receive information only to perform those services under contractual restrictions and may not use it for their own advertising or model training.
- GSS does not sell personal information, run third-party advertising SDKs, or track people across unrelated apps and websites for advertising.
CHILDREN
- GSS accounts are for people age 13 and older. Users under 18 need permission from a parent or guardian. A player appearing in footage or on a roster does not need a GSS account. An adult must explicitly accept a guardian claim before GSS links that adult's account to an organization-provided player record; GSS does not link families by a name match alone.
- Users under 18 may use GSS only with permission from a parent or guardian. If GSS learns that a user under 13 created an account or directly submitted personal information, GSS will disable the account and delete or otherwise handle the information as required by law.
- A participating organization sets its own participation and technology requirements in separate documents. GSS does not itself determine player eligibility, Team placement, or access to an organization's official information. Declining or withdrawing an optional identity-sharing choice may limit personalized roster, film, or statistics features, but it does not prevent incidental appearance in footage recorded by another adult or display of an unlinked jersey number visible in that footage.
- Access-restricted private Team film and analysis do not authorize public advertising, social-media promotion, or other public likeness use. Those uses require separate authorization from the participating organization or family.
RETENTION AND YOUR CONTROLS
- You can sign out and remove the local account from the app. Removing an account does not automatically erase a shared game, Team record, official score, or footage other authorized families rely on.
- When an authorized game owner moves a game to Recently Deleted, GSS presents a 10-day restore window before the game becomes eligible for permanent purge. A legal or safety hold may delay deletion. Security, consent, transaction, and deletion receipts may be retained separately when reasonably necessary.
- Copies another authorized person has already downloaded or exported are outside GSS's technical control.
- An adult user, or a verified parent or legal guardian acting for a minor player, may request access, correction, deletion, restriction, or withdrawal of future processing by emailing the address below with the subject Privacy Request. No new GSS account is required. GSS may verify the requester's identity and authority and may coordinate with the participating organization. Shared official game records, security records, legal holds, backups, and copies already downloaded by authorized users may be subject to limitations. To appeal a denied request, reply with the subject Privacy Appeal.
